Work Pattern - Changing Hours


Employers must respond to changes in employees’ work patterns – employers need to be aware of any permanent or temporary changes to an employee’s agreed work pattern. Minimum annual leave entitlement is 4 weeks per year on anniversary and the work pattern at that time will dictate how much leave is due on their anniversary.

For an employee that reduces hours part way through the anniversary year, you can hold the balance accrued on the higher hours and use this to pay an average hours for a days leave which can be agreed by the employee and employer.

Reducing Standard Hours - Employee

  1. People > View People > Select the Employee
  2. Personal Details > Edit the Work Pattern
  3. Save
  4. Timesheet Template > Select Ordinary Hours > Edit Quantity to new standard hours for the pay period.
  5. Save
  6. Diary Notes > Add note regarding new hours and work pattern
  7. Personal Details > Documents > Upload any relevant correspondence between you and your employee.

Reducing Standard Hours - Annual Leave

  1. In the Open Pay Run
  2. Timesheet Entry > Select the Employee
  3. Select Annual Leave Entitlement i.e. AL20 - Annual Leave (4 weeks pa)
  4. Next Anniversary > Select Now (New Leave Year as at ...) to show a change to leave accrual calculations part way through an anniversary year.
  5. Save

Increasing Standard Hours - Employee

  1. People > View People > Select the Employee
  2. Personal Details > Edit the Work Pattern
  3. Save
  4. Timesheet Template > Select Ordinary Hours > Edit Quantity to new standard hours for the pay period.
  5. Save
  6. Diary Notes > Add note regarding new hours and work pattern
  7. Personal Details > Documents > Upload any relevant correspondence between you and your employee.

Increasing Standard Hours - Annual Leave 

  1. Timesheet Template > by editing the Quantity to the new standard hours for the pay period, the next anniversary will automatically update the entitlement to 4 weeks (or 5 weeks etc) of the standard weekly hours. 
  2. Review the Annual Leave entitlement hours
