Leave Taken - Amending a Leave Request

The simplest way to record leave taken in iPayroll is for employee's to use the Leave Request system in the iPayroll Kiosk but if the leave wasn't taken by the employee or the type of leave recorded has been changed, they will need to be amended.
Employees can only edit a leave request before it has been approved. Leave approvers can only edit request details before it has been processed in a pay. Paymasters can do this as part of payroll processing,  When changing the type of leave, it could be more appropriate to Decline the leave and add a new leave request with the correct leave type. Any changes made to a leave request is recorded on the Audit Trail and an email is sent to your employee each time it is approved.
Transactions recorded in a pay cannot be altered once a pay is closed, these need to be reversed in the next open pay.
Use the Additional Message to communicate the changes to your employee and the cc email to copy in their manager or leave approver etc. Keep supporting documentation regarding any changes.

Editing an Approved Leave Request in the current pay

  1. Timesheet Entry > select Employee's Name
  2. Remove the Leave Request 
  3. Select > Rubbish bin icon
  4. Select > Quick Links > (person icon to the left of the screen) Leave Balances > Leave Requests
  5. Select > Edit (pen) to view the details of the request.
  6. Select > Date to be edited and change to correct the entry
  7. Additional Message > Add note to record the reason for the change.
  8. cc Email > add in a manager's email address to notify them of the change if required
  9. Save
  10. Select > Pay Now > from Drop Down > Add leave due in current pay
  11. Select > Clock icon on right hand of screen to review Timesheet Entry
  12. Review T1 Ordinary Time hours 

Editing Pending Leave Request 

  1. People > Leave Requests
  2. Select > Employee's Name
  3. Select > Edit (pen) to view the details of the request.
  4. Select > Date to be edited and change to correct the entry
  5. Additional Message > Add note to the employee
  6. cc Email > add in a manager's email address to notify them of the change if required
  7. Save
